The short version

  • We collect only what you give us on the brief form, plus basic technical data to keep the site secure.
  • We use it to reply to you, scope work, and run our business. We don't sell it. We don't use it for advertising.
  • If you share client information with us, we treat it as confidential and we sign an NDA first if you want one.

1 Who we are

This site is run by Cove Partner (“Cove”, “we”, “us”). For privacy matters we are the controller of the personal data described below, unless this policy says otherwise. Contact: hello@covepartner.com.

2 What we collect

We do not knowingly collect data from children. This site is for businesses.

Client information. If you send us information about your own clients, you confirm you are allowed to share it with us for that purpose. Please send only what is needed. If we process personal data on your behalf as part of a project, we will agree a separate data processing agreement first.

  • To respond to you and take steps before a contract (replying to briefs, scoping, quoting). Basis: contract steps / legitimate interests.
  • To deliver and manage work and keep records. Basis: contract; legal obligation (accounts, tax).
  • To send an NDA you asked for. Basis: your request / legitimate interests.
  • To keep the site secure and prevent abuse. Basis: legitimate interests.
  • To measure site use. Basis: your consent, for analytics cookies.
  • To contact you about related services. Only where permitted, and you can opt out at any time. We do not send bulk marketing without consent.

We do not make decisions about you using fully automated processing that has legal or similarly significant effects.

4 Who we share it with

Only people and companies that help us run Cove, under contract and only for that purpose:

  • Hosting and security providers
  • Form and email delivery: {{FORM_PROVIDER}}, {{EMAIL_PROVIDER}}
  • Scheduling: Cal.com, when you choose to book
  • Secure storage for signed NDAs
  • Professional advisers (legal, accounting) and authorities where the law requires

We do not sell personal data, and we do not share it for advertising.

5 International transfers

Some providers are outside your country. Where personal data leaves the UK or EEA, we rely on adequacy decisions or approved safeguards such as standard contractual clauses. Ask us for details.

6 How long we keep it

  • Briefs and enquiries that do not become work: up to 24 months, then deleted.
  • Client work and contracts: for the life of the relationship plus 6 years for accounting and legal purposes.
  • Signed NDAs: for the NDA’s term plus 6 years.
  • Technical logs: up to 90 days.
  • Cookie choice: 12 months.

You can ask us to delete earlier; we will unless the law requires us to keep it.

7 Security

We use access controls, encryption in transit, least-privilege access and confidentiality terms for anyone who handles your information. No system is perfectly secure; if there is a breach that affects you, we will tell you and the regulator where the law requires.

8 Your rights

Depending on where you live, you can ask to: access your data; correct it; delete it; restrict or object to its use; receive a copy in a portable format; withdraw consent at any time (this does not affect earlier use). To exercise any right, email hello@covepartner.com. We reply within one month. You can also complain to your data protection authority, such as the UK Information Commissioner’s Office (ico.org.uk) or your local EU supervisory authority.

US residents. Depending on your state, you may have the right to know, access, correct, delete and opt out of the sale or sharing of personal data or targeted advertising. We do not sell personal data or use it for targeted advertising, and we honor Global Privacy Control. We will not discriminate against you for using your rights.

10 Changes to this policy

When we change this policy we update the date and version above. If a change matters to you, we will tell you directly.
